The Free Tools That Actually Run an Online Business

Starting an online business doesn't have to mean paying for six subscriptions before you've made a single sale. Most of what you actually need — design, storage, forms, analytics, and a way to email people — has a genuinely free version. Here's what's worth using, and what free actually gets you on each one.

1. Design: Canva

Canva's free plan covers what most people need to make pins, social graphics and simple PDFs — thousands of templates, stock photos and 5GB of storage, no credit card, no time limit. You'll hit the ceiling if you want premium templates or the background remover; up to that point, the free tools do the job.

2. File storage and sharing: Google Drive

15GB free, accessible from a browser or phone. It's where your lead magnet, invoices and design files can live without paying for hosting — share a link and it works the same as any paid file-delivery tool for a one-person business.

3. Collecting information: Google Forms

Waitlists, feedback, simple order forms — free, no response limit, no branding you have to pay to remove. It won't replace an actual checkout, but for anything that just needs to collect answers, it's built for exactly that.

4. Scheduling social posts: Meta Business Suite

If Instagram and Facebook are part of the plan, Meta's own scheduler is free and built in — no third-party app, no post limit. You'll need a Facebook Page rather than a personal profile to use it, which takes a few minutes to set up. It won't reach Pinterest or Threads, but for the two platforms it does cover, there's no paid tier to upgrade to.

5. Seeing who's actually visiting: Google Analytics

Free, and it's the same tool larger businesses use — there's no separate "starter" version with fewer features. The only cost is the time it takes to set up and actually read it.
